How it works
Three steps from upload to signed, described in full.
1. Upload a PDF
Start with the document you already have. zaSign takes PDF files of up to 20 MB. You do not need to prepare the file in any special way.
2. Place the signature boxes and add signers
Your document opens in the browser. Click on the page where each signature belongs, and a signature box is placed there. Add the people who must sign, by name and email address.
You can ask more than one person to sign the same document. The free plan allows up to 2 signers on a document and Local Business allows up to 5. You can let everyone sign whenever they like, or ask them to sign in order, so each person waits for the one before.
3. Send it
When you press send, each signer gets an email with a link. They sign in their own browser, on a phone or a computer. Nothing needs to be installed and they do not need a zaSign account.
4. Follow the progress
Your dashboard lists every document you have sent and where it has got to: sent, opened, in progress, partly signed, completed, declined or expired. When a document has more than one signer it shows how many of them have signed so far, and each signer is listed with a tick once they are done.
5. Keep the signed copy
Once everyone has signed, your dashboard offers two downloads for that document: the signed PDF, and the signing record described below. Each signer also receives both by email, and a copy goes to the address on your zaSign account.
A record of every signature
zaSign is not only a way to email a document. Every signing produces a signing record, as a PDF, alongside the signed document. It sets out what happened and when.
- Each signer, by name and email address.
- The time the signing email was sent, and the time the link was opened.
- The time the document was viewed, started and completed.
- The IP address each person signed from, their browser and operating system, and their time zone.
- A unique fingerprint of the document before signing and after signing, so a copy you hold can be checked against the record.
You can download the signed copy and the signing record from your dashboard once everyone has signed, and each signer receives both by email.

What counts as a document
A document counts once, when the first person signs it. Sending costs you nothing until then.
On the free plan, a document you have sent that nobody has signed yet holds its place in your 3-document limit until it is signed or expires. A document that is declined or expires without a signature gives its place back.
